Event Volunteer Agreement
Thank you for supporting the Children’s Hospital Foundation. We are so grateful to have you part of our team of volunteers and are committed to ensuring we do the very best we can to make your volunteering experience rewarding, safe and fun!
The intent of this agreement is to outline your obligations, behaviours and standards of conduct that relate to your volunteer role with the Children’s Hospital Foundation.
Your Volunteer Role
The role you have selected at Children’s Hospital Foundation is a volunteer position. This means that, if you accept the role, you perform all duties on a voluntary basis and you will not receive remuneration or payment for your work.
We ask that you:
- Support Children’s Hospital Foundation’s vision, purpose and key impact deliverables and adhere to the Children’s Hospital Foundation’s values and behaviours
- Only undertake duties you are authorised to perform and always operate under the direction and supervision of nominated employees of Children’s Hospital Foundation and obey reasonable directions and instructions
- Understand and comply with relevant Children’s Hospital Foundation and Children’s Health Queensland’s policies and procedures
- Notify your supervisor or another employee of any health and safety issues, child protection concerns or potentially hazardous situations that may pose a risk to you or others and report any accidents or incidents relating to employees, volunteers, or the workplace
- Let us know immediately if there is anything, or anything arises, that makes you unsuitable or unable to legally carry out your volunteer role
- Comply with the law at all times.
Age Requirement for Participation
Volunteers must be at least 16 years of age to participate independently in this event. Volunteers under the age of 16 are welcome to participate; however, they must be accompanied by a parent or legal guardian at all times. In these cases, a parent or legal guardian is required to register on behalf of the child. By signing this agreement, volunteers confirm they meet this age requirement or, if under 16, will be accompanied by an adult who has completed the registration.
Health & Safety
Ensuring the safety of volunteers and everyone involved in our organisation is of utmost importance at Children’s Hospital Foundation. Under the relevant Queensland laws, including the Workplace Health and Safety Act and other applicable legislation, the Foundation is obligated to uphold a duty of care to mitigate risks for all individuals affected by its operations, including both paid employees and volunteers.
As a volunteer, you may have duties under those laws too. These include:
- To take reasonable care for your own health and safety
- To take reasonable care for the health and safety of others
- To comply with any reasonable instruction by Children’s Hospital Foundation
- To let Children’s Hospital Foundation know of any concerns you may have about safety and/or fitness in undertaking the role, and
- To cooperate with any reasonable policies and procedures of Children’s Hospital Foundation and Children’s Health Queensland.
Discrimination, Harassment & Bullying
As a volunteer you must not harass or discriminate against any person, for any reason including, but not limited to gender, physical appearance, pregnancy, age, race, sexual preference, ethnicity or national origin, religious or political conviction, marital status, physical or intellectual disability.
The principles of Equal Employment Opportunity and bullying apply in the workplace. If anyone witnesses’ discrimination, harassment or bullying, our people must report it as soon as possible.
Sexual Harassment
The Foundation is committed to providing an environment free from sexual harassment. Sexual harassment is defined as any unwanted, unwelcome or uninvited behaviour of a sexual nature which a reasonable person would anticipate could make a person feel humiliated, intimidated or offended. Sexual harassment doesn’t have to be repeated or ongoing to be against the law. The Foundation strongly encourages individuals who have been sexually harassed or have witnessed sexual harassment to report the behaviour.
Induction & Training
Upon your commencement as a volunteer with the Foundation, you will be required to complete mandatory online induction modules, prior to your shift. When your shift begins, you will receive the necessary safety equipment or personal protective gear, as well as specialised training to your role as required. However, please do not hesitate to talk to your supervisor at any time if you have any health and safety concerns while you are on shift.
Insurance
We are committed to providing adequate insurance cover for volunteers whilst carrying out their volunteering roles that have been approved and authorised by us. Children’s Hospital Foundation has the following insurances:
- Public Liability Insurance
- Group Personal Accident and Sickness Insurance – Voluntary Workers.

Consent to Photographs & Images
By agreeing into these terms and conditions you acknowledge and accept that Children’s Hospital Foundation and Indooroopilly Shopping Centre may take photographs and video footage of you carrying out your volunteer work and use it for the purposes of marketing and promotion of Children’s Hospital Foundation and or Indooroopilly Shopping Centre and its goods or services. This may include printed and digital marketing, including the use of your image on social media platforms. If you do not consent to this, please email [email protected].
Confidentiality
As a result of your role as a volunteer with us you may be given access to confidential information. You must only use our confidential information to perform your role as a volunteer with us, and you must not disclose it outside our organisation. Any information concerning patients, families or children should be treated with the strictest confidence and sensitivity.
Privacy
Children’s Hospital Foundation may collect information about you from time to time to enable your participation as a volunteer at Children’s Hospital Foundation, to facilitate services or products requested by you, or to keep you informed about Children’s Hospital Foundation’s related activities.
You consent to Children’s Hospital Foundation providing this information to third parties, whether domestically or abroad, including but not limited to its related bodies where it is necessary for the proper conduct and administration of the Children’s Hospital Foundation’s business or functions, including for the purpose of enabling third parties to provide Children’s Hospital Foundation with services.
You consent to Children’s Hospital Foundation sending you information about volunteering, programs, products, services, fundraising or other activities which the Children’s Hospital Foundation thinks may interest you.
